Three Engagements in Detail

A retired civil servant with records spread across three departments

The Situation

A client who had worked across three different federal departments over thirty years had records held by each of them separately. He had received letters referring to information he could not locate and had been unable to identify which body held his complete service record.

What Was Done

Longhand identified the three relevant published request channels, prepared a separate covering letter for each, and assembled the required identification copies to each body's specification. A log was opened tracking all three requests with dates and expected response windows.

The Outcome

All three requests received responses within six weeks. Two produced the records in full; the third required a follow-up letter which Longhand also drafted. The client ended the engagement with a complete set of record copies and a log of the full correspondence history.

A household managing correspondence on behalf of an elderly mother

The Situation

An adult daughter in Kuala Lumpur was attempting to manage her mother's pension correspondence remotely. Letters were arriving at the Melaka address, being poorly filed, and often going unanswered because no one in the household could follow the requests. Two submission windows had already been missed.

What Was Done

The Household Records Retainer was put in place for sixteen weeks. A correspondence log was opened from the first appointment. Fortnightly summaries were sent to the daughter in KL so she could follow the file from a distance. Copy preparation and postage were handled by Longhand, with the daughter's written authorisation for each submission.

The Outcome

All outstanding correspondence was addressed within the first month. The calendar of upcoming response windows meant nothing was missed during the engagement. The bound file at closure was passed to a local family member for ongoing reference. The daughter described the fortnightly summaries as the most useful part.

A residents' association looking for a repeatable programme

The Situation

A Melaka residents' association with a large proportion of retired members had seen several households in difficulty after the household head passed away without maintaining an accessible document file. The committee wanted a programme they could run repeatedly without depending on an external provider each time.

What Was Done

The Community Records Literacy Programme was delivered over eight sessions at the association's hall. Printed workbooks were provided for all forty participants. The committee received a full facilitator pack, and Longhand conducted a training briefing for the two committee members who would lead subsequent runs.

The Outcome

The association had run the programme twice independently by the time of the follow-up session six months later. The committee estimated around ninety members had participated across the three runs. Several participants had started family index files based on the household template, and three had used the session workbooks to initiate their own document retrieval requests.
