Our Methodology in Plain Terms
Every Longhand engagement begins with a conversation about what the household currently has, what it needs, and what has already been attempted. From that starting point, the appropriate service is identified and the scope is agreed in writing before any work begins.
Documents are handled using a consistent indexing method. Correspondence received and sent is logged with dates and reference numbers. Where technical language appears in incoming letters, it is explained in plain terms in the accompanying summary. Nothing leaves the office without the client's written authorisation.
All three services are delivered at a pace suited to older clients and families coordinating from a distance. The aim is not to move quickly but to move clearly — so that the household understands its own file at every stage, not just at the end.

Document Retrieval Assistance
For individuals who need to request copies of their own records from former employers or official registries but find the process daunting. We identify the right published request channel, help draft a plain covering letter in the client's own name, prepare identification copies to the format the receiving office requires, and keep a log of what was requested and when.
All requests are made by the client or with their written authorisation. We neither represent nor advise them on entitlement. The service runs across two appointments over three to four weeks.

Household Records Retainer
A four-month retainer that keeps a household's retirement and personal document file current, organised, and understandable. Work covers filing incoming correspondence, maintaining a running index, preparing copy sets when needed, keeping a calendar of published response windows, and producing a short written summary of the file every fortnight.
Scope is clerical and informational. Questions of entitlement or interpretation are referred to the relevant official channel or a qualified professional. The engagement runs sixteen weeks with fortnightly contact, and closes with a bound handover file.

Community Records Literacy Programme
A programme delivered to residents' associations, places of worship, cooperative societies, and community centres. Eight two-hour sessions covering document types, safe storage in a humid climate, how to keep a simple family index, and where official information is published in Malaysia.
Sessions are general and educational — no individual circumstances are discussed and no advice is offered. Delivered in English or with a bilingual facilitator. Groups receive a facilitator pack so they can repeat the programme themselves after the initial delivery, along with a follow-up session six months later.

Professional Standards That Apply to Every Engagement
Document Confidentiality
Nothing shared with third parties without written authorisation. Physical documents stored securely and returned or securely disposed of at engagement close.
Stated and Respected Scope
Clerical and informational only. Out-of-scope questions are referred clearly and promptly, not fielded with approximate answers.
PDPA Compliance
Data handling follows Malaysia's Personal Data Protection Act 2010. Client information is collected only for service delivery purposes and not retained beyond engagement close without agreement.
Two-Working-Day Response
All client messages and letters receive a substantive reply within two working days. If additional time is needed, an acknowledgement is sent with a realistic timeframe.
Written Agreement Before Work Begins
Every engagement is preceded by a short written agreement setting out scope, price, and duration. Nothing proceeds on a verbal understanding alone.
Fixed Price, No Mid-Engagement Additions
The stated price covers all work within scope. Any additional work is discussed and agreed separately before it begins. Clients are never surprised by the bill.
